What to do when a new owner takes over the property

When a new owner takes over a property we suggest they inherit the existing Preno account with all historical and future bookings for a seamless transition.

There are a number of things to complete to ensure a smooth handover. See the checklist below:

Current owner

Prior to settlement date:

Account setup

  • Let us know about the change in ownership and share the contact details of the new property owner

  • Ideally, the existing Preno account is transferred to the new owners. If there is an issue with this, please let us know.

  • Please note we require a minimum of 2 weeks notice to ensure a smooth transition.

Integrations

  • OTA connections - contact your OTAs to transfer the OTA accounts to the new owners.

Payment gateways

  • If the current owner uses Stripe/Windcave and has encrypted credit card details, the new owner will not be able to access these unless the Stripe/Windcave account has been transferred to the new owner. If possible, have the Stripe/Windcave account transferred to the new owner.

  • If the Stripe/Windcave account cannot be transferred to the new owner, please let Preno know, we'll ask our team to repush the CC details so they are accessible. This is only possible for customers who use Preno as their channel manager and only valid for website and OTA bookings. Direct booking card details cannot be repushed.

On Settlement date:

Billing and data

  • The billing account holder controls access to the data. Ensure that this is updated with the new owner's contact details and credit card so you are not charged for ongoing Preno subscription costs.

Integrations

  • Remove connected accounts linked with Preno

    • Payment gateways (Stripe, Windcave)

    • Accounting software including Xero and MYOB

    • Any other connected integrations eg. Lightspeed, RoomPriceGenie, etc.


New owner

Prior to settlement date:

Account access

  • Have current owner add you (and any other team members) as users in the existing Preno account. If there is an issue with this, please let us know.

Integrations

  • OTA connections - ensure that existing owner contacts the OTAs to initiate the change of ownership process to you.

  • Set up accounts that you want to connect to Preno

    • Accounting - Xero or MYOB

    • Any other apps eg. Lightspeed, RoomPriceGenie, etc.

  • Log into Preno to update the credit card details by going to Home > Settings > Billing > and click on 'Open Billing Portal' > Update your details

  • The billing account holder controls access to the data. Ensure that this is updated with the your contact details and credit card so you do not lose access to the account.

Integrations

  • Connect to new integrations

    • Payment gateways bank accounts (Stripe, Windcave)

    • Accounting - Xero or MYOB

    • Any other apps eg. Lightspeed, RoomPriceGenie, etc.

  • OTA connections

    • For Booking.com and Expedia accounts, once the change of ownership is successful, you will be disconnected from your channel manager and you will need to request a connection again.
