Setting up a non-refundable rate

How to create a non-refundable rate plan in Preno and offer it alongside your other rate options.

You can offer a non-refundable rate by creating a rate plan for it in Preno — usually a discounted version of your standard rate — and pairing it with a no-refund cancellation policy on your Booking Engine and OTAs. Guests get a cheaper price; you certainty on revenue even if the guest cancels.

Before you start

Decide your discount. Non-refundable rates typically sit 10–15% below the equivalent standard (refundable) rate — enough to be attractive without giving away too much.

Creating the non-refundable rate

  1. In Preno, go to the Rates tab and locate the room type the rate applies to.

  2. Add a new rate plan and name it clearly, for example Non-refundable. A clear name matters — it's what you and your guests see everywhere the rate appears.

  3. Set the rate as a derived rate from your standard rate (for example, 10% below), so it moves automatically whenever your standard rate changes. See Derived rates. Alternatively, enter a fixed base rate if you do not want it to be derived.

  4. Set up the rate plan in your Booking Engine. For Preno customers you can follow steps here, Add a Rate Plan. For STAAH or Siteminder customers you will need to contact their support team.

  5. When setting up the rate for your Booking Engine, make sure the rate's description and terms are clear so guests see the conditions before they book — state plainly that the rate is non-refundable and payment is not returned on cancellation.

  6. If you sell the rate on OTAs, map the new rate plan in your Channel Manager, the to each OTA that carries a non-refundable cancellation policy — the policy itself is set on the OTA, not in Preno. If you need help here please contact our team directly.

Important The cancellation policy is enforced where the booking is made. Terms displayed in on your Booking Engine and each OTA's settings for these rates are what make it genuinely non-refundable. Make sure all three are clear and consistent for guests.

Tip Pair the non-refundable rate with an auto-payment rule (for example, full payment when the booking is created) so the payment is actually captured up front. See Auto-payments and deposits.
