Preno reports

What each Preno report shows and when to use it.

Preno's reports each answer a different question about your property — from how full you are, to which channels your bookings come from. This guide summarises what each report under the Reports tab shows and when to reach for it, with links to dig deeper into any of them.

How reports work

Every report can be viewed Daily, Weekly, Monthly or over a Custom date range, selected in the dropdown at the top of the page — a custom range of 1 January to 31 December gives you a full-year view.

Download any report as a CSV or PDF via More > Download or Print. Comparison figures are always against the same period last year, to account for seasonality, and all reporting figures include sales tax.


​How reports work

Revenue Report

The Revenue Report contains key metrics such as room nights sold, accommodation and extras totals minus commission, and RevPAR (revenue per available room).

Set a custom date range covering a full 12-month period to generate an annualised summary for year-on-year analysis.

Unique to the Revenue Report, you can set monthly targets and view these on the graph. To set targets, go to More > Set targets.

Note the figures show accommodation sold for the period, not payments taken to date. Use it for tracking gross revenue or looking ahead at sales.

Occupancy Report

Your occupancy percentage for the period, graphed against the same period last year. Click a month in the table to break the metrics down by room type. Use it to spot gaps and plan pricing. No custom date range is currently available for this report.

Bookings Report

The Bookings Report shows new bookings received within a given time period, listed by Agent with totals. It's also where cancelled bookings live, showing cancellation reasons. Use it to track sales by Agent, cancellations, and Lead in Days.

Note: The Bookings report includes only bookings created within the selected date range. If a booking was created outside that window (even if its stay falls within it), it will not appear in the report. Additionally, ensure you review all pages of filtered results when applying the Booking Status filter (e.g., "Future").

Room Closures Report

This report tracks every room closure, past and future — dates, rooms, reason, and which user scheduled it. Use it for maintenance tracking and audits.

Reconciliation Report

The Reconciliation Report lists every payment recorded against a booking in Preno on a given day, by payment method, along with which booking each payment was made against. Voided payments are tracked here too. This report is useful for your bookkeeper or accounts team — see managing user permissions if they need access.

If you use Xero with Preno, any deposit or invoice created in Preno links directly to its equivalent in Xero.


Sources Report

An in-depth look at your Agents: your top booking source, the percentage of bookings with commission applied, and total commission value. Click an Agent to see which room types they book most, compared to the prior year. Use it to compare channels, net agent value (minus commission), and direct booking value.

Guests Report

A summary of guests who stayed in a period: percentage of returning guests, average stay, and a breakdown by nationality with average daily spend. Use it to understand loyalty and stay patterns.

Note: The exported CSV includes guest contact details. If you use these for marketing follow-up, make sure you have the guest's consent and that it complies with your local privacy laws.

  • Volume of forward bookings looking ahead → Revenue Report

  • Commission paid by channel → Sources report

  • Cancelled bookings and reasons → Bookings report

  • Why are some rooms closed → Room Closure Report
