Choosing the right report in Preno

What each Preno report shows and when to use it.

Written by Jessica Kwok

Preno's reports each answer a different question about your property. From how full you are to which channels your bookings come from. This guide summarises what each report under the Reports tab in the top toolbar shows and when to reach for it. We've included links below to allow you to dive deeper into each report.

How reports work

Every report can be viewed Daily, Weekly, Monthly or over a Custom date range, selected in the dropdown at the top of the page — a custom range of 1 January to 31 December gives you a full-year view.

Download any report as a CSV or PDF via More > Download or Print. Comparison figures are always against the same period last year, to account for seasonality, and all reporting figures include sales tax.

How reports work

Revenue Report

The Revenue report contains important metrics such as room nights sold, accommodation and extras totals minus commission and RevPAR.

Additionally, you can generate annualised summaries by setting a custom date range that covers an entire 12-month period, making it easy to analyse detailed yearly revenue data.

Unique to the Revenue report, you can set monthly targets and view these on the graph as well. To set targets, go to ‘More’ > ‘Set targets’.

By using a custom date range, you can also summarise revenue data over 12 months to gain a comprehensive yearly view.

Note the figures show accommodation sold for the period, not payments taken to date. Use it for tracking gross revenue or looking ahead at sales.

See more on the Revenue Report.

Occupancy Report

Your occupancy percentage for the period, graphed against the same period last year. Click a month in the table to break the metrics down by room type. Use it to spot gaps and plan pricing. Currently no custom date range is available for this report.

Bookings Report

The Bookings report shows new bookings you have received within a given time period listed by Agent with totals. It's also where cancelled bookings live, displaying cancellation reasons. Use it to track sales by Agents, cancellations and Lead in Days.

Room Closures Report

This report tracks every closure created, past and future. It shows dates of closures, rooms, the reason, and which user scheduled it. Use this report for for maintenance tracking and audits.

Reconciliation Report

The Reconciliation report is useful for your bookkeeper or accounts team, as it lists out all payments recorded against bookings in Preno on a given day. It will list payments by the method and specify which booking the payment was made against. Voided payments can also be tracked here.

If you are using Xero with Preno, any deposits or invoices created in Preno will have a direct link to its equivalent in your Xero account. For more information, please check out our help articles on our Xero Integration.

Sources Report

This report provides an in-depth look at your Agents: your top booking source, the percentage of bookings with commission applied, and the total commission value. Click an Agent to see which room types they book most and compare to the prior year. Use it to compare channels, net value of agents (minus commission) and direct booking value.

Guests Report

This gives a summary of the guests who stayed in a period: percentage of returning guests, average stay, and a breakdown by nationality with average daily spend. Use it to understand loyalty and stay patterns.
