Holding credit for a guest cancelling a booking & Waitlist Rooms

How to hold a cancelled or deferred booking as guest credit on the Grid until the guest rebooks or adding a room to hold a waitlist.

If a guest cancels or wants to reschedule their stay for later, you can offer them credit (sometimes called a credit voucher) and hold it in Preno instead of losing the booking. Set up a holding room (excl. of Occupancy) on the Grid, move the booking there, and when the guest is ready to rebook, simply drag the booking to its new dates.


Setting up a holding room

You only need to do this once — the same holding room can hold credit bookings, waitlisted guests, and anything else waiting for dates:

  1. Go to Settings > Rooms and click Add.

  2. Add a Room type — name it clearly, for example Credit / Waitlist.

  3. Add a Room under that room type.

  4. Tick Exclude from occupancy so the holding room doesn't affect your occupancy figures or reports.


The holding room now appears as a row on the Grid, ready to hold bookings.

Moving a booking to the holding room credit/waitlist

  1. Open the booking the guest is cancelling or deferring, edit the room. Or, move it by drag and drop to the holding room.

  2. Add a booking and guest note too — the amount held, and any conditions you've agreed with the guest (for example an expiry date).

Any deposit or payment stays recorded against the booking, so the guest's credit and payment history remain in one place.

When the guest rebooks

  1. Open the held booking on the Grid.

  2. Update the check-in and check-out dates to the new stay, or edit the room number.

  3. The booking — with its payments and notes — carries over to the new dates. Adjust the rate if the new dates are priced differently.

Tip Agree the conditions of the credit or waitlist agreement with the guest when you offer it — how long it's valid, whether it can transfer to another person, and what happens to any difference in price — and record them in the booking's notes area so anyone on your team can see them.

Note This workflow holds an existing booking's value as credit. If a guest is purchasing a gift voucher, that's recorded differently.
